Contra Costa County Meet 25
Steve Heaston Aquatic Center
Start: 9:00 AM

Welcome to the 2025 Contra Costa County Championship Swim Meet. You are receiving this email as you have previously been listed as a contact for your team. If you are no longer in that role or have others on your team you want to make sure are included on future County Meet communications, please visit the County website, http://www.contracostacountymeet.com, and update your team contact tab.

You can find all necessary County Meet information in the following attachments:

-2025 County Invitation Letter -2025 Meet Information -2025 Meet Entry File (Entries are due by 5pm on Monday, July 28th. Must be sent to: [email protected]) -2025 County Meet – Coaches Info (Must be completed and returned by Sunday, July 27th) -2025 County Meet – Insurance Requirements (Must be submitted by Sunday, July 27th) Please follow instructions on the sheet. Do not send insurance certificates to the physical addresses listed. They must be sent via email only, [email protected]) -2025 Work Assignments and S&T Form (If you have interested S&T judges, please email [email protected] as soon as possible. It is much easier to reduce/eliminate other team jobs the earlier we schedule our officials.) -2025 Qualifying Times and Eligibility Guidelines

We recommend sharing this information with your entire team.

Stroke and Turn Volunteers:

At the County Meet, we do not assign specific S&T requirements to the teams. Our goal is to get enough qualified judges to volunteer from teams to provide a comprehensive deck of officials. This is essential to providing a fair and even playing field for all the swimmers. We understand that some teams’ judges do not have County qualifying swimmers, so they will not be at the meet. However, the expectation is that the larger teams can still provide at least 1 full day judge for both days. The smaller teams also typically provide 1 judge for 1 full day and/or early take off officials for relays.

Teams who provide S&T officials will have their other team timing jobs either reduced or eliminated. Teams who provide at least 1 full day judge (or cover 2 judges’ early take-off shifts) will receive priority team area setup. This will be an assigned area specific for that team, and they will be allowed to setup at least 2 hours earlier than the other teams. Any S&T official who works 1 full day shift will get VIP parking both days Any early take off-official will get VIP parking on the day they are working Officials who work a full day will get catered breakfast and lunch, access to the air-conditioned officials lounge, and refreshments throughout the day that they work. They will also receive a County polo shirt. Officials will all be put on rotations, so there are plenty of breaks throughout the day. Ideally, for continuity, we would like S&T officials to work a full day shift. However, if a team needs to split a shift between trials/finals, please email me, j[email protected], to confirm if that will work. If you have any interested officials or questions regarding S&T officials, email j[email protected] as soon as possible. We want to ensure we provide adequate officiating coverage for all the deserving swimmers at County. Timing Assignments: The only other volunteers required from teams are timers. Since entries aren't due until 5 days before the meet, we estimate the number of timing assignments based upon team size and past County entries. Typically it works out to roughly 1 timing shift (1 chair for either a trials of finals session) per 8 entries. That number is reduced or eliminated for teams who provide Stroke and Turn judges or other Meet Officials. Exact number of assignments will be sent out by Thursday, July 24th.

Meet Order of Events – Approximate timeline:

Saturday August 2nd 9am-12pm – Free trials (15-18 50 free trials, all additional Free trials, Breast trials, 11&up IM timed finals) 12pm-1:00pm – Break (entire pool open for warmups for at least 45 minutes) 1:00pm-4:00pm – 15-18 50 Free finals, Medley Relay (timed finals), Free finals, Breast finals Sunday August 3rd: 9am-12pm – Back trials, Fly trials, 10&under IM (timed finals) 12pm-1:00pm - Break (entire pool open for warmups for at least 45 minutes) 1:00pm-4:00pm – Free Relay (timed finals), Back finals, Fly finals

Pre-meet warmups:

Both days the entire pool is open for warmups from 7:15-8:30am. From 8:30am-8:50am, the pool is only available for 8&under swimmers. There will be announcements for which lanes are available for racing starts. Please follow instructions from meet officials and lifeguards during all warmup periods. There are no assigned lanes for teams during any warmup periods.

Relays:

Teams may enter a maximum of 2 relay teams per event. The qualifying relay time can either be a time achieved by that relay during the 2025 summer rec season, or a sum of the 4 entered swimmers top times in those strokes. The 4 swimmers entered on the relay do not need to be the same 4 swimmers who swim on that relay in the meet. Any eligible swimmer on a team’s roster can swim in a relay in their age group. However, the 4 names of the entered swimmers must be included in the entries. Those swimmers’ names will be listed in the program and on any awards that team receives. It is up to individual teams to correct those awards once they are received. It is not necessary to list any alternates for relays in the entry file.

Team Areas:

Team area information and map will be distributed by Wednesday, July 30th. Please see the note above in the Stroke and Turn section regarding team areas. General team area setup will begin at 3pm on Friday, August 1st. Teams with priority setup will be given further instructions leading up to the meet.

VIP Parking:

VIP parking will be available to purchase beginning at 8pm on Monday, July 28th on the contracostacountymeet.com website, under the VIP Parking tab. Parking typically sells out very fast, so please be prepared.

Meet Programs and Apparel: Meet programs and apparel will be on sale at Acalanes between 12-3pm on Friday, August 1st. Coaches’ programs can be picked up at the same time.

The team will be providing hot dogs with the fixins for lunch.  If you are available to grill, come on by.
  • Please note the purple arrows. The only entrance and exit to the pool for families is at the upper left corner of the pool on the map. Anything marked with an "X" is for swimmers and officials only.
  • Spectating families are not allowed in Clerk of the Course or anywhere it is red. There will be deck marshalls at gates directing traffic. Please obey them and treat them with respect. Do not attempt to sneak past them.
  • Parents are NOT allowed behind the blocks and phones are not allowed behind the blocks. No video or photography is allowed behind the blocks.

League Meet Breakfast and Lunch Sign -up genius: Please visit our sign-up genius to contribute and drop off your breakfast potluck items to Jamie Vislocky at the breakfast table as soon as you arrive at camp. You can drop off the lunch items after 10:30 am to Jenna Crescenzi.  The table will be set up in the back of our camp.  Vy, our snack shack coordinator, will be providing morning coffee for our parents.  Thank you Vy.

Clerk of the Course (Pinole Seals is running it):

Swimmers must check in for their swim about 15-20 minutes before their event at Clerk of the Course. This means you must be aware of who is currently swimming so you can get your swimmer to Clerk at the appropriate time. The volunteer parents at Clerk will then guide your swimmer into rows of chairs and have them sit, in order, with their heat, until it is their turn to swim. Parents are not allowed past the check-in table at Clerk of the Course. When it is their turn to swim, the volunteer parents will guide the swimmers onto the pool deck and get them to the appropriate lane to swim their event.

Volunteer Assignments

ALL FAMILIES must work a job. You must check in for your volunteer job with Rachelle Reyes once you arrive at camp. All no shows will have $50 billed to the credit card on file. The volunteer check-in area will be towards the front of camp. The jobs have been assigned in Swimtopia.  Please check and know your job.   Thank you to the families that are working an extra job!!

  • If you purchased a program, you can pick them up in the morning.
  • The meet will also be on Time drops this year!!!! The Time drops code is 2450.

Food: There will be a variety of food trucks present, and we will have our potluck breakfast and lunch, with hot dogs as the main course.  Thank you to Nacho Gil for bringing the grill!!

T-shirts: Shirts/Sweatshirts will be available for purchase.

Our team participates in the Tri Counties Swim League (TCSL) Championship. This meet is referred to as TCSL or League Meet or Championship Meet. This is an invitational meet. This is the Seals’ most important meet of the season, because it determines our League ranking. During this event, our swimmers compete against all the teams in our league. All swimmers, regardless of their age or ability, are expected to participate in this League-wide meet. The team pays all entry fees for your swimmer. If you do not intend to attend League Meet, you must inform the head coach via e-mail two (2) weeks before the first day of League meet. If your child is a “no show” after entries are submitted, you may be responsible for all your swimmer’s fees including any relay that may be scratched due to your swimmers absence.

During the season we will swim against each team in the League in dual meets. All League teams will participate in the League Championship Meet at the end of the swim season. The following teams are part of the Tri Counties Swim League:

American Canyon AHICrockett Crockett-ilesPinole Seals
Benicia StingraysHercules Piranhas

Please note that Time Trials, Invitational meets and Blue and Gold do not count towards the volunteer work credits. We need all families to attend and work Time Trials (introduction/training to swim meets). Also, all families who sign up their swimmer(s) for Invitationals are required to work the meet and will be automatically assigned a job.

HOX Last Chance (Optional)
Black Hawk Country Club Sports Complex

This is an invitational that is optional and signups are handled directly by HOX, not the Seals:

https://www.gomotionapp.com/team/recvsabstca/page/...

This is typically only attended by Seals who are very close to qualifying for County. This meet is never sponsored by Seals donors.

Invitationals involve several teams. Once a swimmer is registered to swim in an Invitational meet, and the meet entries have been submitted to the hosting team, Coaches cannot make changes to the swimmer’s entries.

If you have never registered for this meet before, you need to create a swimmer ID. Please use their birthdays in the format of MMDDYYYYMMDDYY and they will update it to the MMDDYYFFFMLLLL before the meet closes.
